Renewal Reminders

Renewal Reminders are the automated emails that remind members their membership is about to expire. The system checks daily and emails members a set number of days before their renewal date.

Used by: Super Admin (Settings). Found at https://admin.uibeta.org/admin/settings/renewal-reminders.

What you configure

The one setting on this page is the timing preset — how many days before expiration reminders go out:

PresetSends atUse for
Standard30, 14, and 7 days before expirationReal production memberships.
Beta3, 2, and 1 day before expirationShort-duration test memberships, so you can watch the flow without waiting a month.

Each threshold sends one reminder. A member approaching renewal gets up to three emails on the schedule for the active preset.

To change it: go to https://admin.uibeta.org/admin/settings/renewal-reminders, pick a preset, and Save. Standard is the right choice for production.

What the emails say

The reminder content comes from the renewal reminder email template, edited under Email Templates — not on this page. This page only controls when reminders send; the template controls what they say. Placeholders like the member's name and renewal date fill in automatically.

How the timing works

Reminders fire on an exact-day match. A member is emailed on the day they are exactly 30, 14, or 7 days out (Standard), and each reminder sends only once.

No catch-up window

Because the match is exact-day, a reminder is tied to that single day. If the daily job does not run on a given day, the reminders due that day are not resent later — that reminder is simply missed for those members. This matters mainly during outages or maintenance; on a normal day it just works.
